- Maintenance and filing of statutory documents for entities/ trusts in various jurisdictions in the Document Management System (“DMS”).
- Liaising with legal counsel, registered agents or regulatory authorities in different jurisdictions for:
- the incorporation, dissolution or re-domiciliation of entities
- filing and updating beneficial ownership registers
- Assistance with the preparation of forms for filing with regulators in Singapore.
- Providing annual support with external audits, including agreed upon procedures.
- Maintaining updated KYC documentation.
- Maintenance of organizational and structural charts.
- Preparation of New Entity Checklists.
- Maintenance of the compliance calendar and providing timely regulatory and structural updates to team.
- Preparation of resolutions for routine corporate actions.
- Performing routine resolution control by ensuring that resolutions which have been logged are duly signed, dated and filed in DMS.
- Coordinating meetings of directors, shareholders and committees.
- Minuting of meetings of directors, shareholders and committees.
- Arranging for signing of documentation ancillary to the above.
- Professional fluency in English with the ability to understand legal documents in English.
- University degree or equivalent with preferably 2+ years of experience working in corporate, fund or trust administration.
- Good working knowledge of trust and corporate administrative processes and procedures.
- Ability to work efficiently, diligently, and independently in an international environment.
- Ability to prioritise and multi-task.
- Organized, accurate and detail-oriented with sound judgement and integrity.
